Overview

The Warehouse Coordinator is responsible for helping and assisting the Warehouse Manager in running of venue distribution/ warehouse operations including inventory, receiving, purchasing, ordering, lay-ins, purchase order tracking, clean-up, transfers and equipment maintenance. The Warehouse Coordinator must provide a high level of event oversight, technical proficiency, and operational/personnel support to ensure the smooth running of (or preparation for) any assigned event.

This position is based at our Kay Bailey Hutchison Convention Center. The Kay Bailey Hutchison Convention Center Dallas (KBHCCD) is one of the largest convention centers in the nation. Every year it welcomes over a million visitors attending major national and international conventions, meetings, concerts, athletic competitions, auto shows, and more. Located in the heart of downtown Dallas, the KBHCCD has been and continues to be a fixture in the Dallas skyline offering 1 million square feet of exhibit space, three ballrooms, 88 meeting rooms, 1,750-seat theater, and a 9,816-seat arena. The award-winning facility is connected to a 1,001-room hotel via skybridge and is adjacent to two Vertiport landing pads. Responsibilities

including but not limited to (Other duties as assigned):

  • Work from general instructions and specifications.
  • Responsible for product purchasing/ordering, receiving and distribution control for the venue.
  • Ensure that established procedures for tracking purchase orders, requisitions, receiving dockets and perpetual inventor are maintained; report any deviation to the Warehouse Manager and Director of Operations.
  • Maintain and manage sanitation and organizational systems of all warehouse storage areas.
  • Willing and available to assist with event operations as directed by the Director of Operations and Facility Manager.
  • Maintain warehouse inventory and ensure system controls of warehouse inventory at all times
  • Responsible for ensuring that purchase order system is adhered to for all orders received at each warehouse; verify proper specification, size, quantity, etc. of goods received; supervise proper labeling, dating and stocking of supplies.
  • Maintain Safety Data Sheets for all products and properly organized and available to all personnel.
  • Provide assistance to the Warehouse Manager to help close out monthly reports

Qualifications

 

  • High School Diploma or equivalent (GED) required.
  • A minimum of 2 years providing administrative support in a comparable industry or operational setting.
  • Demonstrated high proficiency with Microsoft office.
  • Demonstrated skills in management multiple functions.
  • Consistent and reliable attention to detail, accuracy and validity.
  • Ability to multi-task in a fast-paced, changing environment. Must work well under pressure of deadlines.
  • Ability to successfully interact and collaborate with a diverse spectrum of individuals calmy, professionally, supportively.
  • Excellent organizational and time management skills; ability to delegate tasks as required
  • Extensive experience preparing spreadsheets and reports.
  • Ability to adhere to highest standards of ethics, integrity, professionalism, and discretion. Ability to execute solid management decisions quickly and efficiently.
  • Ability to understand technical references in the fields of electrical engineering, plumbing, mechanical engineering, heating and air conditioning, welding, painting, and carpentry. 
  • Ability to work independently in the absence of supervision
  • Ability to prioritize work and effectively resolve workload issues.
  • Ability and willingness to work extended hours (i.e. evenings, weekends, holidays), as required by business necessity. Excellent written and verbal communication skills.
  • Must be organized, self-directed, dependable, flexible, and able to work in a fast-paced, professional work environment.
  • Must exhibit a high degree of confidentiality, tact, and diplomacy.
  • Ability to adapt to new concepts and exhibit resourcefulness/initiative in problem-solving.
  • Excellent administrative and general office skills.

 

Intellectual/Social demands:

While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits. Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time.  This position also requires constant use of interpersonal skills including: ability to foster collaboration, recognize and resolve conflicts, and openly communicate in writing and verbally with clients. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving concrete variables in standardized situations.

 

Physical demands:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.  While performing the duties of this job, the employee occasionally works near moving mechanical parts (the machinery they operate) and is occasionally exposed to caustic chemicals. The noise level in the work environment is usually moderate.

 

Ability to work in a fast-paced environment to meet deadlines. While performing the duties of this job, the employee is regularly required to stand, walk, talk, hear, and use hands to finger, handle, or feel objects, tools, or control. The employee is frequently required to use hands to finger, handle, or feel; reach with hands and arms; and stoop, kneel, crouch, climb, balance, or crawl. The employee must be able to lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth vision, and ability to adjust focus. 

 

Work schedule:

Ability to work various workdays and hours to meet business needs including early/late hours, long days, weekends and holidays. Must be reliable and punctual.
