Position Summary

Under the direction of the Sr. Payroll Manager, the Payroll Supervisor is responsible for supervising our Owned & Operated accounts and supporting the accurate and timely processing of payroll across multi-location, multi-state, and international environments. This role oversees day-to-day payroll operations, ensuring compliance with federal, state, and local regulations while maintaining the highest level of accuracy and confidentiality. The Payroll Supervisor will assist in streamlining payroll processes, supporting audits, and providing guidance to team members to ensure service excellence. The ideal candidate will be detail-oriented, dependable, and dedicated to fostering professionalism, collaboration, and accuracy within the payroll team.

 

This role pays an annual salary of $77,000-$80,000

Responsibilities

Payroll Processing:

  • Manage and oversee end-to-end payroll processing for a large, multi-state (or global) organization.
  • Ensure accurate and timely processing of weekly, bi-weekly, semi-monthly, and monthly payrolls across multiple pay groups.

Compliance & Audits:

  • Ensure compliance with federal, state, and local payroll regulations, including wage and hour laws.
  • Conduct regular audits of payroll data to ensure accuracy and compliance.
  • Manage tax reporting and ensure timely filing of payroll taxes and year-end tax documents (e.g., W-2s, T4s).

Team Management:

  • Mentor Payroll Coordinators, including insight to performance management and process improvement initiatives.
  • Serve as an escalation point for complex payroll issues and employee inquiries.
  • Train and support owned and operated payroll contacts to ensure accuracy and consistency in payroll practices.

Systems & Integration:

  • Manage two payroll and timekeeping systems, including ADP, ABI, and eTime, ensuring proper integration with HRIS, benefits, and timekeeping systems.
  • Oversee system upgrades, enhancements, and troubleshooting of payroll software.
  • Drive automation and system improvements to enhance payroll accuracy and efficiency.

General Ledger & Reconciliation

  • Support payroll-related GL postings and reconciliation in collaboration with the Finance/Accounting team.
  • Ensure accurate payroll expense and liability reporting.

Data & Reporting:

  • Develop and generate standard and ad hoc payroll reports for Finance, HR, and senior leadership.
  • Analyze payroll data and trends to identify improvements and cost-saving opportunities.

Change Management:

  • Implement new policies, procedures, and process improvements to drive consistency and operational efficiency.
  • Ensure effective communication of payroll policy changes to employees and relevant stakeholders.
  • Stakeholder Collaboration:
  • Collaborate with HR, Benefits, Finance, and IT teams to ensure accurate payroll inputs and reporting.
  • Serve as a liaison with external vendors and auditors for payroll-related matters.

Mergers & Acquisitions:

  • Support payroll integrations and transitions during acquisitions or system migrations.

Dispute Resolution:

  • Address and resolve complex payroll discrepancies, garnishments, or corrections promptly and professionally.

  • Regulatory Knowledge: Comprehensive understanding of federal, state, and local payroll tax laws, regulations, and compliance requirements.
  • Technology Proficiency: Familiarity and proficiency in various payroll platforms and HRIS platforms (ADP, Paychex or similar). Advanced knowledge of Excel.

Qualifications

  • Bachelor’s degree or better from an accredited college or university with major course work in accounting, finance, public or business administration or a related field required
  • Minimum of 5 years of Payroll experience required.
  • May require working beyond normal business hours, including nights, weekends and holidays based on event calendar.
  • Strong oral and written communication skills and attention to detail.
  • Proven ability to work well with all levels of management.
  • Knowledge of ADP
  • Knowledge of General Ledger
  • Prior supervisory responsibility preferred.
  • Experience managing payroll for a large employee base (1000+ employees) is highly desirable
  • Comprehensive knowledge of payroll processes, regulations, and compliance requirements.
  • Familiarity with federal, state, and local payroll tax laws, as well as wage and hour regulations.
  • Certified Payroll Professional (CPP), strongly preferred.
  • Advanced knowledge of Microsoft Excel other relevant payroll platforms.
