Position Summary

We are hiring an Accounts Payable Coordinator. If you are passionate about building your financial career in the sports & entertainment industry, then we want to get to know you. Bring a willingness to learn, your strong analytical skills as you will be preparing and maintaining financial records to track the organization’s assets, liabilities, profit and loss and other related financial activities. You will report directly to the Manager of Finance and will engage frequently with all departments across our six entities.

 

This role pays an hourly rate ranging from $31.25-$36.06.

About the Venue

UBS Arena at Belmont Park is made for music and built for hockey. New York's newest premier entertainment and sports venue and home of the New York Islanders is developed in partnership with Oak View Group, the New York Islanders, and Jeff Wilpon. The state of the art arena opened in November 2021 and has welcomed numerous top artists including Harry Styles, Sebastian Maniscalco, Billie Eilish, Dua Lipa, TWICE, Eagles, John Mayer, Kendrick Lamar and Post Malone. The venue delivers an unmatched live entertainment experience for guests including clear sightlines and premier acoustics.

 

UBS Arena is at the forefront of sustainability, being awarded LEED Green Building Certification in January 2023. The venue also achieved carbon neutrality for operations in Fall 2022 which made it the first arena to do so on the eastern United States seaboard.

 

Located on the historic grounds of Belmont Park, UBS Arena is located just 30 minutes by LIRR from Grand Central or Penn Station and is easily accessible from across the region via mass transit or car. 

Responsibilities

  • Process Accounts Payable via automated AP System (Coupa)
  • Issue Form 1099s.
  • Respond to vendor and internal inquiries.
  • Weekly AP payment runs.
  • Responsible for all aspects of G&A departmental expenses – assist with budget and forecasts, review, and analysis of actual results, distributing monthly reports.
  • Prepare daily / weekly summary of bank account balances.
  • Maintain department deliverable calendar.
  • Wire and ACH entry.
  • Expense report review and processing.
  • Establish process and procedure for requesting, approving, and tracking fixed asset projects.
  • Ensure expenditures recorded as capital adhere to GAAP guidelines.
  • Review repairs and maintenance expenditures for potential reclassification to capital.
  • Maintain Fixed Asset subledger.
  • Review and approve monthly entry for depreciation.
  • Distribute fixed asset detail listing to stakeholders as needed.
  • At least annually review fixed asset reports for assets no longer in service, changes in useful life, and adjust the fixed asset subledger as needed.
  • Prepare all assigned balance sheet reconciliations, including bank accounts, prepaid expenses, deferred revenues, etc.
  • Record monthly accruals(compensation, payables, etc.)
  • Produce G&A department reports including current month and year to date line-item expenses v. budget, forecast and prior year (as applicable). Distribute to stakeholders, meet at least quarterly to review. Answer inquiries and questions as needed.
  • Review and record activity by event from third party F&B operator (Delaware North).
  • Assist in response to the annual audit and tax information requests.

Qualifications

What you need to be qualified:

  • Bachelor’s degree in accounting, finance, or related field preferred.
  • 2+ years of accounts payable experience or other relevant experience. A mix of public and private accounting preferred.
  • Prior experience within entertainment or event-driven organization a plus.
  • Strong understanding of AP processes and internal controls.
  • Experience with NetSuite, Coupa, ADP, Concur and Ticketmaster Platforms a plus.
  • Accustomed to working in a fast-paced environment with ability to multi-task and collaborate.
  • Ability and willingness to work flexible hours.
  • Exceptional account management and organizational skills.
  • Passionate and invested in your work.

  • Motivated, self-starter with a no-task-too-small attitude.
  • Strong interpersonal and proactive communication skills.
  • Strong Microsoft Office skills.
