Position Summary

In addition to managing a wide variety of events at the complex, the Event Manager also serves as a multi-faceted event manager for producing all levels and types of events. Prepares event outlines and scaled drawings of event areas. Coordinates equipment and personnel service distribution and other functions and duties as required by the event. Serves as manager on-site; delegating assignments, maintaining contact with event promoter from planning the event, move in of event to the facility, the actual event and move out of the event. As Manager of the event, supervises facility operations including outside contractors and facility employees. Prepares and compiles and communicates lessee event expense information for use by the business department in financial settlement of the event.

 

Event Manager also serves as Box Office Manager and will control ticket inventories and oversee the processing of orders and payments. Utilizing ticketing software, he/she will create ticketing for events and financial reports; manage and participate in the development and administration of an annual budget. The Box Office Manager is responsible for the selection, training, motivation and evaluation of all Box Office part-time personnel, and the management of all aspects of customer service related to internal and external customers. The ideal candidate will have experience in ticketing, staff management, and customer service. 

 

This role will pay a yearly salary of $45,000-$50,000.

Responsibilities

  • Advance, plan, service, and supervise all events
  • Plan, direct and evaluate the work of subordinates
  • Provide leadership and guidance for event personnel
  • Analyze challenges, identify alternative solutions, and project consequences of proposed actions and implement recommendations in support of organizational objectives
  • Monitors assigned event requirements as interfaced with other events and activities scheduled throughout the Complex. Exhibits working knowledge of all event related and departmental procedures in order to facilitate proper coordination of activities.
  • Communicate clearly and concisely in the English language, both orally and in writing
  • Establish and maintain effective working relationships with lessees/clients, co-workers, part-time staff, contractors, patrons/public and municipal officials
  • Work a flexible schedule, including long nights, early mornings, weekends & holidays as needed
  • Complete all duties with a customer service focus through teamwork & dedication to Oak View Group’s principles
  • Assist in the preparation of building to meet the requirements of upcoming events/shows
  • Assist with the completion of pre-show event financial estimates
  • Assist with the completion of post-show event settlements
  • Advise lessees on services available from independent contractors for events
  • Recruit, train, and supervise event staff
  • Create work schedules for event staff, delegate assignments, and review performance/results
  • Function as a liaison between users of the facility and the facility staff
  • Recommend and evaluate required event staffing levels
  • Coordinate communication between building staff and show staff during load in and load out
  • Investigate and resolve event-related complaints in a professional manner ensuring customer satisfaction
  • Make hospitality arrangements as needed
  • Create and distribute detailed data sheets prior to every event
  • Prepare and approve bi-weekly payroll for all event staff
  • Coordinate service needs with Food and Beverage provider & make hospitality arrangements as needed
  • Serve as Manager on Duty as scheduled
  • Other duties and responsibilities as assigned
  • Build all events in the ticketing system, including seating manifests, price tables, hold/kills, discounts, pre-sales, etc.
  • Oversee all financial reconciliation in regards to daily reports, monthly reports and event settlement
  • Manage all information being sent and posted through ticketing system
  • Act as systems administrator for ticketing system and liaison between staff, promoters, presenters and the facility
  • Responsible for system upgrades, occasional testing of new software and routine maintenance and trouble-shooting
  • Prepare all ticketing reports for and work with tenants on system training and related premium ticketing services
  • Update and relay all box-office related event information to each department and client
  • Investigate and resolve ticket-related issues
  • Responsible for season ticket renewal mailings, processing of season ticket monies and printing/mailing of season tickets
  • Responsible for all season ticket holder customer service related upgrades, priority point systems, etc.
  • Responsible for the collection of all ticket monies, tracking of accounts payable/receivable and preparation of sales reports/ticket revenue updates (this includes parking monies)
  • Work with sales reports/ticket revenue updates
  • Work with sales and marketing departments to set up various ticket discounts and promotions
  • Oversee will call for all ticketed events, ensuring compliance to all relevant ticket laws
  • Process/fill approved charity ticket requests; document all complimentary tickets issued
  • Track attendance for all events, including pre-sales, walk-ups, promotions, discounts, etc.
  • Process donor seat selection and retention
  • Manage of all aspects of customer service as it relates to both internal and external customers, enforcing Oak View Group's principles and corporate initiatives
  • Plan, organize, and coordinate the Box Office efforts for a public assembly facility, stadium. arena or convention center
  • Develop and implement comprehensive ticket sales programs
  • Plan, direct, evaluate and provide leadership to Box Office personnel
  • Establish and maintain effective working relationships with internal/external customers
  • Analyze challenges, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of organizational objectives
  • Comprehend and make inferences from written sales materials
  • Exercise confidentiality and integrity upon handling customer personal/financial information
  • Complete all duties with a customer service focus through teamwork and dedication to Oak View Group’s principles

Qualifications

  • Three to Five (3-5) years of increasingly responsible experience in event management in a stadium, arena, convention center or public assembly facility setting. Will train the right candidate.
  • Bachelor’s degree from an accredited college/university with major coursework in facility management, hospitality management, business, or related field
  • Strong oral and written communication skills
  • Strong computer skills in Microsoft Office applications, word processing, and Internet
  • Possession of, or ability to obtain, a valid drivers’ license
  • Knowledge of operational characteristics of events
  • Ability to identify the needs of users of the facility
  • Working knowledge of the principles of facility management, services and equipment for a similar facility.
  • Experience with budget preparation and control.
  • Knowledge of crowd management and control techniques
  • Knowledge of customer service practices
  • Knowledge of principles of supervision, scheduling, and training employees
  • Demonstrated familiarity with facility use contracts
  • Knowledge of fire and public safety regulations
  • Knowledge of A/V equipment and electronic systems in public assembly facilities
  • Experience with budget preparation and control
  • Familiarity with terminology used in entertainment/convention/public assembly settings
  • Experience with AutoCAD is preferred but not required
  • Certified Meeting Professional Certification (CMP) is plus, but not required.
