Position Summary

Oak View Group is seeking a highly organized, proactive, and experienced Executive Assistant to support the Chief Legal Officer (“CLO”); Senior Vice President, Global Venue Development (“SVP”);  and Senior Director, Legal & Business Affairs (“Senior Director”). This is an exciting opportunity for someone with a strong background as an Executive Assistant within legal environments, including law firms or corporate legal teams. The successful candidate will play a key role in ensuring the smooth operation of the Legal & Business Affairs department, providing high-level administrative support, and maintaining excellent communication between internal teams, external stakeholders, and senior leadership.

 

This role pays an hourly rate of $40-$45.

Responsibilities

  • Provide comprehensive executive assistance to the CLO, SVP, and Senior Director, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Act as a liaison with internal/external stakeholders, ensuring timely communication and responses to inquiries.
  • Prepare and organize meeting agendas, take detailed minutes, and follow up on action items.
  • Manage confidential and sensitive information with the utmost discretion and professionalism.
  • Assist in preparing documents, reports, and presentations as required by the legal team.
  • Maintain and update files, documents, and databases, ensuring all records are accurate and up-to-date.
  • Coordinate and track deadlines, ensuring timely submission of documents and other deliverables.
  • Handle general administrative tasks, including expense reports, filing, office management, and organizing events or meetings.
  • Anticipate the needs of the CLO, SVP, and Senior Director, proactively identifying opportunities to streamline processes and improve efficiency within the team.
  • Collaborate with other departments, including HR, Finance, Accounting, Risk Management, IT, and Global Venue Development, to support broader business objectives.
  • Assist with the preparation of contracts, agreements, and other legal documentation as needed.

Qualifications

  • Minimum of three (3) years of experience as an Executive Assistant, preferably within a law firm or corporate legal team.
  • Strong understanding of legal terminology, practices, and procedures.
  • Experience using Concur or comparable platforms for expense reporting.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with a strong emphasis on document management.
  • Excellent written and verbal communication skills, with the ability to interact effectively with senior leaders, clients, and external partners.
  • Ability to manage multiple tasks simultaneously, prioritize effectively, and work under pressure to meet deadlines.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to anticipate needs, think critically, and solve problems efficiently.

Preferred Qualifications:

  • Previous experience working with corporate legal teams or in-house legal departments.
  • Familiarity with legal contract management systems.
  • Paralegal certification or similar legal training is a plus.
  • Holds a notary license in the State of Colorado.
  • Experience with basic office management (including inventorying and procuring supplies, organizing office-wide events, managing mail and packages, and communicating building updates to staff).
  • Conversational ability in Spanish and/or Arabic.
