Position Summary

We are seeking a highly motivated IT Assistant Manager to support our information technology operations across multiple parts of our venue, including the Miami Beach Convention Center (MBCC), Collins Canal Park, Rum Room, and Venu. This role is responsible for Office 365 administration, employee onboarding and offboarding, IT vendor coordination, cybersecurity oversight, IT help desk support, and budget supervision.

The IT Assistant Manager will serve as a liaison between OVG’s venue management, OVG’s corporate team, the City of Miami Beach IT department, and external service providers to ensure seamless technology services. Responsibilities include system administration, IT equipment inventory, system design and implementation, documentation, system repairs, upgrades, training, and long-term IT infrastructure planning. The goal is to enhance and maintain cybersecurity, network reliability, wireless communication, and end-user support while driving continuous improvement in IT operations.

The ideal candidate will have a strong technical background, excellent problem-solving skills, and experience managing IT systems in dynamic environments.

WORK SCHEDULE:

The work schedule of this position typically involves a 5-day work week Monday through Friday; however, this will fluctuate based upon the needs of the community, business needs, projects and/or events. Must have the ability to work a flexible schedule including late nights, early mornings, weekends or holidays and the ability to remain available 7 days per week.

 

 

This role pays a yearly salary of $70,000 to $80,000.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Office 365 Administration

  • Manage and maintain Office 365 (Exchange, Teams, OneDrive, SharePoint, etc.).
  • Administer user accounts, licenses, and security policies.
  • Troubleshoot Office 365 issues and ensure system uptime.

Employee Onboarding & Offboarding

  • Set up and configure hardware/software for new employees.
  • Provide continuous training opportunities to keep staff updated on new technologies and best practices
  • Manage user access to company systems, applications, and networks.
  • Ensure proper deactivation of accounts and secure data transfer during offboarding.

Hardware & Software Support

  • Provide IT support for desktops, laptops, printers, and mobile devices.
  • Install, configure, and update software applications.
  • Development and maintenance of software programs such as but not limited to Ungerboeck EMBS database, Corrigo, AutoCAD, Google analytics, and their technological functionality requirements.
  • Manage IT asset inventory and ensure hardware maintenance.
  • Maintain adequate stock of working equipment.
  • Researches and recommends long-term equipment improvements and replacement.

IT Vendor Management

  • Collaborate with external vendors for IT procurement and support.
  • Evaluate vendor performance and ensure compliance with company IT standards.
  • Function as a liaison with the City of Miami Beach IT Department regarding network support issues.
  • Function as a liaison with OVG Corporate IT Department regarding corporate applications and systems issues.

Cybersecurity Supervision

  • Oversee the implementation and monitoring of cybersecurity tools and monitor internal systems daily.
  • Work with security teams to ensure compliance with cybersecurity best practices.
  • Respond to security incidents and assist in risk mitigation strategies.

Budget & Financial Supervision (OPEX & CAPEX)

  • Assist in planning and monitoring IT budgets (Operational & Capital Expenditures).
  • Track IT expenses and provide reports to senior management.
  • Recommend cost-effective IT solutions and optimizations.

 IT Help Desk & Support

  • Serve as the first point of contact for OVG users IT-related issues and inquiries.
  • Provide OVG users IT support for hardware, software, and network troubleshooting.
  • Manage OVG users IT support tickets, ensuring timely resolution.
  • Create and maintain OVG users IT documentation and knowledge base articles for employees.
  • Coordinates with Corporate IT and City IT departments, if applicable, to anticipate and resolve system problems that may arise.
  • Prepares systems documentation and disaster recovery procedures.
  • Performs other functions and responsibilities as assigned.
  • The IT Assistant Manager identifies, researches, and resolves the most complex technical problems.

Qualifications

QUALIFICATIONS:

EDUCATION AND EXPERIENCE:

  • A Bachelor’s degree from an accredited college or university or equivalent experience in computer science, engineering or related discipline with an information technology focus or equivalent experience.
  • Experience as a Microsoft Office 365 Systems Administrator.
  • Two – Three years of experience in network/server administration and a familiarity with voice systems environments and associated billing systems.
  • One- Two years of management or professional leadership experience.
  • Experience in project planning/management.
  • Documented experience managing information technology software applications and network development and operations.
  • Subcontract Management experience preferred.

SKILLS AND ABILITIES:

  • Must have keen attention to detail.
  • Ability to hold monthly IT related trainings for OVG employees at the MBCC.
  • Ability to communicate with users possessing varying levels of computer experience.
  • Ability to translate non-technical needs communication into technical development capabilities.
  • Excellent organizational, planning, communication, and interpersonal skills.
  • Effective interpersonal and communications skills; ability to foster teamwork and interdepartmental cooperation.
  • Strong verbal and written communication skills in the English language.
  • Ability to undertake and complete multiple tasks.

COMPUTER SKILLS:

  • Experience with Windows Operating Systems.
  • Thorough understanding of the following preferred (including latest versions): Microsoft Office 365, Microsoft Exchange, Microsoft Software packages, Knowledge of wireless technology applications and interface availability.
  • Knowledge of Property Management Systems (PMS) is preferred, but the ability to learn acceptable.
  • Extreme proficiency in all Microsoft Office applications.
  • Familiarity with Digital Signage.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Preference given to applicants that have one or more of the following.
