Position Summary

The Office Coordinator at the Blue Arena is responsible for providing operational support to the Director of Finance and General Manager and other staff as needed.  This position coordinates a variety of complex administrative and clerical duties, as well as certain accounting duties.

 

This role pays an hourly wage of $18 to $22.

About the Venue

OVG Manages Blue Area at The Ranch Events Complex, located in Loveland, Colorado, is a 6,800 seat multi-purpose venue, which opened in September 2003, and is home to the Colorado Eagles of the American Hockey League. This multi-purpose facility can host concert settings in various capacities, hockey, basketball, indoor football, family shows, rodeos, trade shows and flexible set-ups to accommodate any event. Blue Arena, less than an hour drive from Denver and Cheyenne, Wyoming, has become the focal point for sports and entertainment in Northern Colorado.

 

Responsibilities

  • Open administrative office at 9:00AM-4:00PM, Monday through Friday (hours may vary depending on demand/events)
  • Accounts Receivable data entry
  • Responsible for recording daily Box Office sales
  • Answer, screen, and direct phone calls and voice mails 
  • Oversight of venue access and deliveries and coordinate with departments, tenants, events, etc.
  • Provide general administrative support under direction from the General Manager, and other staff
  • Perform general administrative functions including mail distribution, photocopying, filing, ordering and maintaining office supplies
  • Maintain trade records and spreadsheets
  • Process staff credentials and parking passes for campus
  • Provide administrative support including typing correspondence, maintaining calendars, preparing contracts, compiling expense and other reports
  • Perform other duties as assigned

Qualifications

 

  • Previous office management or executive support experience preferred
  • Communicate clearly and concisely in the English language, both orally and in writing
  • Proficiency with computers in a Windows platform
  • Advanced knowledge of MS Office applications (Word, Excel, Outlook, Teams, etc), with experience preparing accurate spreadsheets
  • Consistent and reliable attention to detail, accuracy and validity
  • Demonstrated ability to work as part of team and with all levels of management
  • Ability to successfully interact and collaborate all team members professionally and supportively
  • Demonstrated ability to prioritize and meet strict deadlines
  • Demonstrated ability to adhere to strict levels of confidentiality, discretion and ethics
  • Experience in composition of letters including business letters, memos and basic report preparation.
  • Effective interpersonal skills to establish and maintain effective relationships with customers, employees, superiors and business contacts in a professional, timely and courteous manner
