Position Summary

The Box Office Manager managers all aspects of the daily operation of the box office, processing orders and payments and providing unsurpassed customer and guest service for Mayo Civic Center. This person will oversee and manage the Box Office staff including full-time and part-time employees. Coordinate and participate in the development and administration of an annual budget. Direct the forecast of additional funds needed for staffing, equipment, materials, and supplies. The ideal candidate will have proven experience in ticketing, staff management and customer service.

This role will pay a salary of $50,000-$60,000

 

This position will remain open until Dec 31, 2024.

Responsibilities

  • Coordinates event information between the promoter, facility personnel, tenant teams and the
  • ticket company in a timely manner.
  • Works with event promoter and appropriate personnel to establish ticket pricing and seating configuration.
  • Builds and modifies all ticketed events and issues computer access codes to facility management.
  • Maintains communication with Ticketmaster for any updates and/or revisions within the setting-up of the ticketing system.
  • Monitors the daily ticket sales for all upcoming events and properly communicates the totals to venue directors and promoter representatives.
  • Prepares cash bank and daily accurate inventory of all tickets distributed and available for sale.
  • Responsible for season ticket renewal mailings, processing of season ticket monies and printing/mailing of season tickets (if applicable)
  • Responds to customer complaints and service requests to maintain a positive rapport with the ticket buying public.
  • Establishes event files that correctly document how the show was built including seats on-hold for the building and promoter, complimentary ticket vouchers, event audits and ticket inventory schedules.
  • Work with Sales and Marketing Department to ensure show builds are correct and to set up various ticket discounts and promotions.
  • Process/fill approved charity tickets requests; document all complimentary tickets issued.
  • Track attendance for all events, including pre-sales, walk-ups, promotions, discounts, etc. 
  • Supervises the Box Office staff, including interviewing, hiring, training, scheduling staff coverage and monitoring performance.
  • Trains appropriate box office personnel on latest Ticketmaster products and technologies to optimize box office operations.
  • Trains the staff on proper cash handling procedures and maintain proper cash controls.
  • Oversees proper balancing of daily sales for each ticket seller regarding the number of tickets sold, money received from ticket sellers and the seller’s bank at the end of the day.
  • Opens and/or closes ticket window and sells tickets as needed.
  • Acts as the on-site Box Office representative on the day of events for all production changes, artist/promoter/VIP program needs.
  • Establishes and maintains positive, effective working relationships with the promoter and other show personnel.
  • Maintains accurate record of daily balance of cash received, tickets sold and change bank/vault; supervises preparation of the end of day bank deposits.
  • Fills reservations for seats by telephone or mail, handles Will-Call window according to procedures.
  • Manages internal, external and groups ticket orders, including strict limitations on complimentary ticket distribution as well as prompt, efficient turn-around times on all orders.
  • Pays close attention to upcoming events with high/low sales volume, adjusting allotments to maximize availability and/or profit.
  • Processes group sales orders, complimentary ticket requests, suite and club orders and all internal ticket requests
  • Assists General Manager and/or Regional Booking with avails and space holds to maximize calendar inventory.
  • Works closely with the Master tenant(s) Box Office Staff
  • Settles Promoter Merchandising Sales in accordance with venue policy
  • Performs other duties as required.

Qualifications

  • Minimum of 3-5 years of increasingly responsible box office/ticketing experience, preferably with a sports facility, convention center, performing arts facility or other multi-
    purpose public assembly facility

  • Ability to work beyond normal business hours as required, based on event calendar

  • Strong listening skills and oral and written communication skills

  • Ability to be on feet for long periods of times

  • Knowledge of operation services and activities of, arena, public assembly facility or convention center sales programs

  • Proficiency in Microsoft Office applications and word processing, spreadsheets, database, presentation, PowerPoint, and Internet software

  • Familiarity with ticketing software, more specifically Ticketmaster

  • Knowledge of terminology used in box office/sales settings

  • Knowledge of principles of budget preparation and control

  • Work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) work days and extended number of days
