Overview

The Event Manager is responsible for assisting in the coordination, staffing, execution, safety and security, customer service and post event reporting for assigned events at the Ryan Center and assigned events at the Boss Arena including but not limited to: URI basketball and football games, concerts, trade shows, and community events.  This position will also coordinate luxury suites and other premium areas for arena and Meade stadium events in coordination with the Ticket Sales Department.  This also includes implementing and maintaining safety and security and customer service measures. The Manager will focus on continuous enhancements in these areas while examining industry standards.  

 

This role will pay a salary of $45,000 to $55,000.

About the Venue

A state-of-the-art, multi-purpose facility, the Thomas M. Ryan Center, located on the University of Rhode Island campus in scenic South County, opened its doors in June 2002. Home to URI Men’s and Women’s Basketball programs, the Ryan Center also features the URI football teams' locker room, along with athletic department offices, training rooms, players' lounges and a souvenir store. The venue seats 8,000 for basketball, and over 6,300 for concerts, family shows, lectures and other community events.The Ryan Center was designed and built to meet all ADA specifications to accommodate our guests with disabilities. Located in Kingston, the Center draws on an audience of over 1.4 million people within a 40-mile radius.

Responsibilities

RESPONSIBILITIES:

  • Responsible for the planning, coordinating, and facilitating the logistics of assigned events within the arena and effectively interfacing with both internal and external clientele.
  • Responsible for oversight of Premium Areas in the arena including suites, and reception areas when applicable.
  • Working hand in hand with the Ticket Sales Department, this position is responsible for facilitating the needs of clients and guides in all premium areas including coordination of catering, special services, and other requests.
  • Meet with event clients prior to events and assist in determining event needs, oversee related staff and provide information and direction to in-house departments and support staff.
  • Coordinate with catering department and responsible for communicating upcoming rentals and contracts for potential catering orders.
  • Responsible for financial reporting of events to include, estimates, settlements, and post event revenue reports for all events.
  • Advance and coordinate shows by way of holding in person and conference call meetings with clientele.
  • Hire, train, supervise and retain, Event Supervisors, Event and Parking Staff, and other Event personnel as needed. This requires the oversight of over 200 part-time staff.
  • Responsible for department scheduling, reviewing and approving payroll.
  • Responsible for all safety and security measures for all events including the scheduling of EMT, fire fighters, fire panel operators, police, traffic, and security.
  • Execute the event security plan for all events
  • Ensure all event insurance certificates & contacts required for production of events are obtained in a timely manner.
  • Coordinate and communicate all relevant information to internal departments for events, including preparation and distribution of event data sheets and post event logistic reports.
  • Coordinate and communicate all relevant information to external clients including building tenants (University of Rhode Island).
  • Continually improving the Department’s performance and reputation.
  • Frequently act as Manager on Duty.
  • Perform other tasks as assigned by Assistant General Manager and General Manager.

  • While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits. Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time.
  • Employees in this role will constantly be in leadership role; requiring directing others either verbally or in writing to complete tasks in prescribed time frame. This position also requires constant use of interpersonal skills including: ability to direct/motivate/inform staff and foster collaboration, being able to recognize and resolve conflicts, being able to openly communicate in writing and verbally with clients.

 

PHYSICAL DEMANDS:

  • While performing the essential functions of the job, the employee constantly operates a computer and other office devices such telephones, copy machines, fax machines, etc.; occasionally moves about inside the office to access storage areas, cabinets and office machinery; constantly moves about the arena and event sites before, during and after events to service clients and supervise staff; constantly communicates via telephone, email and in-person with others to exchange accurate information.

 

WORK ENVIRONMENT:

  • The duties of this position are performed indoors and occasionally outdoors in the weather conditions prevalent at the time. The noise level in the work environments is usually moderate to loud during events and minimal during non-even times.

Qualifications

QUALIFICATIONS:

  • Bachelor’s degree from an accredited college or university with major course works in Sports Management, Business Administration, or other related fields.
  • 3-5 years of responsible experiences in event management with a stadium, arena, convention center or public assembly facility.
  • 3-5 years of supervisory/management experience with an emphasis on training a large part-time staff.
  • Ability to work on multiple projects at once.
  • Ability to communicate clearly and concisely in the English language, both orally and in writing.
  • Advanced proficiency with Microsoft Office Applications as well as the Internet.
  • Capable of working a flexible schedule and extended hours including but not limited to working early mornings, nights, weekends and holidays in addition to traditional business hours
  • Possession of, or ability to obtain, a valid drivers’ license.

 

PREFERRED QUALIFICATIONS:

  • Advanced proficiency with Adobe Photoshop or a similar system able to create and edit graphics and content
  • Experience in web-based scheduling and/or payroll systems.
  • Experience in Auto Cad.
  • Relative marketing experience or fan/guest engagement.
