Overview

Catering and banquet scheduler will be responsible for the day-to day scheduling of the Banquet and Beverage Department staff as provided by the Catering Manager and Food & Beverage Director. Scheduling duties may include, but are not limited to, calling and scheduling, confirming, rescheduling, maneuvering staff through pop up events, and keeping the Schedule organized. Ensure the schedule is completed and sent out in a timely manner as per defined by the CBA. Creating the daily Catering assignments for the department and troubleshoot issues that arise in daily operations. Will also assist with events that will require operational support from time to time, general clerical duties, and receive visitors.
The Catering & Banquet Scheduler must maintain excellent attendance and be available to work events as scheduled per business need.

 

This role will pay an hourly wage of $17 to $19.00.

Responsibilities

Essential Job Functions (including to but not limited to):
• Knowledge of Banquet Event Order forms, and Caterease database program.
• Maintaining proper schedule guidelines per Event and BEO requirements while also adhering to Local 54 CBA Guidelines.
• Determines staffing shortfalls and reports job vacancies and scheduling problems to management.
• Creating a daily and weekly schedule while adhering to Local 54 CBA Guidelines.
• Prepares weekly Gratuity Payroll for the current pay period while maintaining confidentiality as related to payroll.
• Entering schedules in ADP eTime, managing and recording timeclock entries.
• Create and share call sheets and assignments with event staff.
• Providing general office automation/clerical support: copying, faxing, filing, correspondence, telephone inquiries related to the scheduling position.
• Filing maintenance: maintain files; ensuring compliancy and accuracy in files related to weekly and daily scheduling, assignment duty distribution and tip pool.
• Must show demonstrated ability to meet the company standard for excellent attendance.
• Enforces all Ovations policies and procedures.
• Practices excellent Human Resources skills regarding employee relations, corrective action, coaching and counseling employees and completes all necessary HR related paperwork.
• Assists Management team with projects including training, inventory and special events.
• All other duties as assigned by the managers and supervisors.
• Provide a high level of oversight and operational expertise resulting in the smooth, efficient and profitable execution of events.
• Provide direction and oversight to Catering & Banquet Servers, Housemen, and including but not limited to Bartenders.
• Ensure that all Spectra and venue policies, procedures and practices are adhered to.
• Must show demonstrated ability to meet the company standard for excellent attendance.

Qualifications

• Ability to maintain and coordinate within the Local 54 guidelines and policies while maintaining proper scheduling and assignment duties to meet business demands.
• Ability to work well in a team-oriented, fast-paced, event-driven environment.
• Ability to communicate with employees, co-workers, volunteers, management staff and guests in a clear, business-like and respectful manner which focuses on generating a positive, enthusiastic and cooperative work environment.
• Ability to speak, read and write in English.
• Solid working knowledge of computer applications: Microsoft Office 365, Excel, timekeeping system (ADP ETime), Caterease Database program.
Education, Qualifications and Experience:
• At Least 1-2 years’ experience working in an administration office capacity in a fast-paced restaurant or Catering/Banquet/Concession environment with experience scheduling employees or applicable education.
• High School Diploma or equivalent.
